About the company

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Director of Finance and Operations based in United States. This senior leadership role will oversee the financial, administrative, grants, and operational systems that support a mission-driven organization.

Responsibilities
  • Manage the organization’s relationship with its professional employer organization, including payroll, benefits, paid time off tracking, performance reviews, onboarding, and offboarding.
  • Maintain and improve shared digital information management, filing systems, financial records, administrative documentation, policies, procedures, and compliance records.
  • Coordinate team meetings, retreats, performance review cycles, and related administrative processes.
  • Oversee subscriptions, IT and administrative systems, contractors, vendors, and external service providers, ensuring performance against agreed scopes of work.
  • Support pre- and post-award grant processes for incoming and outgoing grants, maintaining systems for deliverables, reporting deadlines, payments, and required documentation.
  • Manage and track contracts with consultants, subrecipients, and vendors from development through completion and close-out.
  • Lead financial reporting requirements associated with regranting and subaward monitoring while maintaining complete and accurate records.
  • Manage external bookkeeping and accounting partners to ensure effective financial controls, accurate records, and reliable financial operations.
  • Lead the annual organizational budgeting process and provide regular budget tracking and financial reports to budget owners, executive leadership, the Board, and funders.
  • Oversee expense coding, allocations, reimbursements, monthly reporting, and other core financial processes.
  • Monitor expenditures against grant budgets and prepare accurate financial reports for internal and external stakeholders.
  • Ensure compliance with financial policies and applicable laws and regulations, while developing or improving internal controls and operational procedures as needed.
  • Provide operational information and materials to executive leadership and the Board to support organizational planning and decision-making.
  • Manage consultants and contractors supporting finance and administration and continuously identify opportunities to improve efficiency, systems, and resource allocation.
Requirements
  • 10+ years of relevant experience managing financial functions and organizational administration, ideally within a nonprofit environment.
  • Demonstrated experience with financial processes, grant budgets, grant accounting, contracts, and organizational administration.
  • Strong understanding of nonprofit operations, accounting, financial reporting, and compliance requirements.
  • Experience managing restricted funding and grant-related financial reporting is a plus.
  • Proven ability to independently own and drive complex finance and administrative functions from planning through execution.
  • Strong organizational, project, and task-management skills with exceptional attention to detail and the ability to consistently meet deadlines.
  • Ability to manage multiple priorities and responsibilities effectively while working with a high degree of independence.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to collaborate effectively across teams and with external partners.
  • Strong analytical and problem-solving abilities, combined with sound financial judgment.
  • Proficiency with Microsoft Office Suite, particularly Excel, and confidence working with cloud-based collaboration and management tools.
  • Familiarity with Microsoft-based systems, QuickBooks, Monday.com, or comparable financial and project management platforms is preferred.
  • Ability to work standard business hours within a continental U.S. time zone.
  • Must be based in the United States and legally authorized to work in the U.S.
Conditions
  • Salary range of $80,000–$110,000, depending on skills, experience, background, and qualifications.
