About the company

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Associate Director, Executive Leadership based in Brazil.

This role serves as a trusted operational partner to the President & CEO, helping ensure the Executive Office runs smoothly and remains focused on strategic priorities.

Responsibilities
  • Manage the President & CEO’s complex calendar, balancing competing priorities and ensuring schedules remain aligned with organizational objectives.
  • Coordinate executive travel, including transportation, accommodation, itineraries, meeting logistics, and expense reporting.
  • Organize executive correspondence and email, identify priorities, draft responses when appropriate, and ensure timely follow-up.
  • Prepare executive briefings, presentations, reports, correspondence, agendas, and other leadership materials.
  • Anticipate executive needs by identifying potential conflicts, gathering relevant information, and proactively resolving issues.
  • Serve as a trusted liaison between executive leadership, Board members, staff, donors, volunteers, and external partners while maintaining a high degree of confidentiality and professionalism.
  • Act as the primary administrative liaison to the Board of Directors and coordinate Board and committee meetings, calendars, logistics, travel, agendas, presentations, and supporting documentation.
  • Partner with executive leadership to develop Board and committee agendas aligned with governance priorities and organizational objectives.
  • Prepare initial drafts of Board and committee meeting minutes and coordinate timely distribution, follow-up, and action tracking.
  • Maintain Board governance records, resolutions, committee rosters, onboarding materials, orientation documentation, and required acknowledgements.
  • Coordinate Executive Leadership Team meetings and organizational planning sessions, including agendas, materials, summaries, action items, and deliverables.
  • Facilitate communication across executive leadership and develop systems that improve organization, information flow, and operational effectiveness.
  • Coordinate cross-functional strategic initiatives sponsored by the President & CEO, developing project plans, timelines, milestones, status reports, and documentation.
  • Monitor project progress, identify risks or delays, coordinate follow-up, and communicate recommendations to leadership.
  • Manage Executive Office expenses, invoices, contracts, subscriptions, confidential records, and administrative processes.
  • Coordinate special events, leadership retreats, executive meetings, and Board functions, and contribute to additional strategic or administrative projects as needed.
Requirements
  • Bachelor’s degree or equivalent combination of education and professional experience.
  • At least 5 years of progressively responsible experience supporting senior executives, C-suite leaders, or comparable organizational leadership.
  • Demonstrated experience managing executive calendars, travel arrangements, high-level meetings, correspondence, communications, and confidential information.
  • Experience supporting Boards of Directors, executive committees, governance activities, or similar senior-level organizational functions.
  • Proven project management experience involving multiple stakeholders, competing priorities, deadlines, and cross-functional deliverables.
  • Exceptional written and verbal communication skills, with the ability to prepare polished executive-level materials and communicate professionally with diverse stakeholders.
  • Advanced proficiency with Microsoft Office Suite and modern collaboration technologies.
  • Strong organizational skills and exceptional attention to detail, with the ability to anticipate needs and proactively resolve issues.
  • Excellent judgment, discretion, and confidentiality when handling sensitive executive and organizational information.
  • Ability to manage multiple priorities independently while maintaining accuracy, responsiveness, and a high level of service.
  • Experience supporting a President, CEO, Executive Director, or similar senior executive is preferred.
  • Previous experience in a nonprofit or mission-driven organization is preferred.
  • Experience coordinating complex executive or Board meetings and events, including travel, lodging, venues, catering, materials, and schedules, is advantageous.
  • Project management certification or equivalent practical experience is a plus.
  • Ability to begin the workday at 9:00 a.m. Eastern Time, regardless of location or time zone, and accommodate occasional travel.
Conditions
  • Annual salary range of $95,000–$105,000.
